We have developed a wide range of essential and comprehensive policies and procedures across each of the Practice Areas which your Medical Practice can easily adopt once you have completed your subscription.

UPDATED AUTOMATICALLY

We will update our default policies and procedures on a periodic basis (and record all changes) to reflect changes in legislation, rules, regulations, guidelines and best practice. One (or many) less things for you to worry about!

PRACTICE OPERATIONS

This area outlines best practice relating to appointment management, triaging, telephone administration, post / mail, email & fax communications, visitors, internal communication and meetings, out-of-hours, Morning Huddle, and Management Reports.

PATIENT MANAGEMENT

Our Platform prescribes a Medical Practice Charter, and sets out guidelines and procedures for staff to follow in relation to new patients, refusal of treatment, patients in distress, non-English speaking patients, chaperone arrangements, Crystal Clear General Practice, handling difficult patients (including abuse and violence) and managing patient complaints and grievances.

FINANCES

We outline how you can approach charging for services (Private, Corporate and State Contracts) and provide an easy-access overview of the GMS claim structure and process. There is also detailed information around starting and closing a Medical Practice, employees and taxation, financial reporting, strategic planning (including business, succession and retirement planning) and renewals.

We have included information on the general principles of Health & Safety pursuant to Irish legislation and also the recommendations of the Health and Safety Authority in Ireland, including a detailed Safety Statement, the requirement for and functions of a Safety Officer, Health & Safety training, accident reporting, ergonomics, lone working, and formal inspections.

EMERGENCY & DISASTER RECOVERY

Our Platform outlines how you should approach emergency planning and the preparation and implementation of an Emergency Action Plan including staff training, use of Action Cards and Battlebox, prioritising services, dealing with adverse weather conditions, disruption to services and supplies, utility management and also communication with service users.

COMPLIANCE

In addition to the Compliance section within the Knowledge Box prescribing how the Risk Management Framework is operated using our Compliance Centre (including Incident Management and Risk Management), it also comprises our mapping of the HIQA National Standards 2012, HIQA National Standards for the Conduct of Reviews of Patient Safety Incidents and HIQA National Standards for Infection Prevention & Control in Community Services to relevant sections of our Platform content, which will assist your Medical Practice to demonstrate efforts to comply with HIQA National Standards.

MANAGEMENT REPORTS.
THE MANAGEMENT REPORT

Our Platform enables you to complete a detailed Management Report, which has been designed with privacy and confidentiality as key considerations. The Management Report (once completed by relevant Medical Practice staff) will provide an excellent overview of the Medical Practice for the relevant period and represents an excellent tool for General Practice Owners.

PRACTICE AREAS

You can select some or all of the Practice Areas to include in the Management Report so you have complete flexibility. The Management Report is very well structured and easy to complete across all of the Practice Areas.

PERFORMANCE

The Management Report can include details of how the Medical Practice performed during the relevant period and related information that impacted (positively or negatively) on the performance in any way.

ON THE HORIZON

The Management Report can also be used to identify and record issues or developments that are planned for or expected in or which might otherwise affect the Medical Practice in the future.

INCIDENT MANAGEMENT.
INCIDENT MANAGEMENT PROCESS

We have a simple Incident Management Process to be used in the event of an incident in your Medical Practice. Your staff can follow clear steps that will help them to act, notify and report as necessary, review and analyse the incident and to complete improvement planning and monitoring.

INCIDENT REPORTS

Each member of your staff can complete a detailed and instructive Incident Report using the Platform, which has been designed with privacy and confidentiality as key considerations. Once complete, the Incident Report will be visible to a Supervisor in your Medical Practice for review and follow up.

INCIDENT REPORT REGISTER

Your Medical Practice will have a register of all Incidents in your Medical Practice which have been recorded using the Platform and which can be used for appropriate follow up. Formal Risk Assessments can also be completed using the Incident Report.

RISK ASSESSMENTS

Risks are part of everyday life in a Medical Practice. Effective Risk Management is therefore essential. We have made it really easy for you to assess Risks once identified. You can calculate the Risk Rating for a particular Risk to understand whether it is an acceptable Risk or if follow up action is required.

AUDIT TOOL

We have a comprehensive and detailed audit tool within our Platform which enables you to complete full or partial Audits in each Practice Area in your Medical Practice. This facilitates the identification of Risks and appropriate follow up action in a timely and effective way.

RISK REGISTER

Sometimes your assessment of a Risk will require ongoing monitoring or subsequent action (treatment) to remove the Risk or reduce its potential impact. Our Platform allows you to maintain a Risk Register for your Medical Practice and to track progress.
